Lawful basis for enquiry handling

To answer your enquiry and take the steps you ask for before any agreement (UK and EU GDPR Article 6(1)(b)), and our legitimate interest in replying to business enquiries (Article 6(1)(f)).

Enquiry retention

Enquiries that do not lead to work are deleted 24 months after our last contact, or sooner if you ask. If you become a client, your records are kept for as long as the law requires for business records.

Cloudflare (website hosting and the form security check), Resend (email delivery, EU region), Hostinger (business mailbox).

Your Enquiry

The form asks for your name, company, email and requirement, with an optional phone number. It also supplies the brand, enquiry type, source page, referrer host and a server timestamp. Campaign fields are supplied only when you allow analytics. Do not send special-category personal data, passwords, payment details or confidential attachments.

When you submit the form, your enquiry is emailed to the Merillgrove inbox through our email provider so a person can read it and reply. Replies go to the email address you give. A submission does not create a quotation or a contract. No automatic marketing follows, and your details are not added to a mailing list.

To stop abuse, the form uses Cloudflare Turnstile, a security check that reads technical signals from your browser to tell people from automated scripts. It runs only where the form appears. To enforce daily limits we keep a count against a one-way code derived from your connection, which changes every day; the count does not record your IP address and expires within two days.

Optional Measurement

Analytics and marketing choices are off by default. Analytics events exclude enquiry text, email, company names, phone numbers and URL queries. No analytics or marketing tools are currently active on this website. Rejecting optional consent never prevents an enquiry.

Questions and Rights

Email the privacy contact above to ask for a copy of your data, a correction or deletion, or to object to how we use it. Depending on where you live, these rights come from the UK or EU GDPR, the Australian Privacy Principles, or California and other US state privacy laws. We do not sell or share personal information and do not use it for targeted advertising. If you are unhappy with our answer, you can complain to your local data protection authority, for example the UK ICO, an EU supervisory authority or the Office of the Australian Information Commissioner.
